Utility #2 - Event Diary

The second article in the series on utilities provided to complement the HR Unity software is the Event Diary. This does not refer to the screen provided within Unistaff personnel that is also called the Event Diary, which does much the same thing but with a restricted set of choices; instead, this refers to the much more sophisticated Event Diary that allows you to report on any date field in the system.

The Event Diary is split into two parts: the Diary Manager and the Diary Processor. The Diary Manager exposes all of the date fields in the database (including any from your own custom-designed screens). You can select which of these you want to report on and then use the field scheduler (see figure below) to specify how often this date should be checked, for what period and who should be informed about it.


If any employees are found as a match to the criteria,
anyone can be emailed or an entry can be added to someone's HR Unity diary, Outlook Calendar or Outlook Task List. Attachments can also be added to emails.

Once this is set up, the Diary Processor should be maintained in the HR Unity Scheduler (this will be the subject of the next in the utilities series). In brief, the HR Unity Scheduler can be set to run on any number of days at a certain time. When the Event Diary Processor is executed by the Scheduler, it goes through your list of dates as set in the Diary Manager and notifies the people you have asked it to.
